WhatsApp for salons and spas: bookings, reminders and rebook nudges

The front desk of a salon is usually one phone and one very busy person. This is how a small salon can let WhatsApp handle the repetitive messages while the stylists keep their hands on the clients.

Say you run a three-chair salon. It's Saturday at 11, every chair is full, and your phone is buzzing in a drawer. Four people want Thursday evening. One wants to know if you do balayage. Someone you booked last week has gone quiet and you don't know whether she's coming.

None of those messages is hard. They're just constant. This guide follows a made-up salon through one working week to show how WhatsApp for salons can take the repetitive part: bookings, reminders, a quick rating after the visit, and a polite "time to rebook" message. The salon isn't a real customer. It's a way to see the pieces fit.

WhatsApp for salons: keep the phone, add the desk

Say your salon already runs on a WhatsApp Business app number, and clients have had it for years. Changing it would be daft.

With Coexistence, you keep the app on the phone and connect the same number to Avox. The team gets a shared inbox on a laptop, the automations run, and whoever is near the phone can still reply there. Our Coexistence explainer covers the connection, and the shared inbox post covers day-to-day use.

Monday: put the salon in three tables

Automations need something to read, so start with data. Avox has premade tables built for this, so you start from a ready-made layout instead of a blank grid:

  • Services and prices: each service with its category, price and duration. Haircut, colour, facial, manicure. The premade version is set up in rupees, so change the currency column if you price differently.
  • Time slots: the free times you'll offer. Each row has a date, time, service, who it's with, how many places and how many are taken.
  • Appointments: the bookings themselves, with a booking number, customer, phone, service, date, time and a status: Booked, Confirmed, Completed, Cancelled or No show.

The slots are the fiddly part, and we won't pretend otherwise. Someone has to add them, a week or two ahead. Adding "Thursday, 5:30 pm, Priya, colour, one place" is quick, but it's a habit you need to keep.

Tuesday: a "book" message that answers itself

Next, make a keyword automation: when someone writes "book", "appointment" or "booking", it replies with a button that opens a booking Flow.

Avox's premade Appointment booking Flow has three screens. The client types their name and picks a day, sees only the free times for that day, then confirms. A picked time is held for ten minutes, and two people can't take the same last place. When it's confirmed, a row appears in Appointments. We walk through this build in detail in booking automation with Flows, so here we'll only flag two limits.

First, the Flow offers what your Time slots table says, nothing else. Second, sending a Flow uses 3 automation credits, and it goes out as a normal message, so it works while the client's 24-hour window is open.

Wednesday to Friday: confirm, remind, and let people move

Once a booking is in the table, three premade automations can run from it:

  1. Booking confirmation: sends the service, day, time and booking number the moment the row appears.
  2. Reminder a day before: a template with Confirm and Reschedule buttons. Confirm marks the row Confirmed. Reschedule alerts your team.
  3. Reminder an hour before: a short nudge. Skipped for cancelled bookings.

The wording, timing and the template rules are the subject of our post on WhatsApp appointment reminders, so we won't repeat them. Just remember that reminders go out after the 24-hour window, so each one needs an approved template.

There's also a Change or cancel a booking automation. A client who types "reschedule" is asked for a booking number, and Avox only matches a booking made from their own WhatsApp number, so nobody can change a stranger's appointment by guessing.

Saturday: after the visit

When a stylist marks an appointment Completed, the premade Feedback after a visit automation sends a short message with three buttons: Great, Okay, Poor. Each answer is saved as a row in a Feedback table, and a Poor one alerts your team so a person can call.

One Meta rule affects this. Meta's categorization guide says a general request for feedback won't be approved as a utility template, so the Avox template for it is a marketing one. That means two things: it is charged at marketing rates, and you should send it only to clients who have agreed to hear from you on WhatsApp. Asking for that yes when you take the booking is the simplest way.

Sunday: the "time to rebook" nudge

Say your regulars tend to be due back about every six weeks. They know it, and they forget it.

Avox's Date in a row trigger can send a message a set time after a date in a table row, up to 60 days later. So a nudge 42 days after a Completed haircut fits. You build it in the automation builder, pairing the trigger with a marketing template you write yourself, for example "Hi {{1}}, it's been about six weeks since your last cut. Want us to hold a time?", and a Book now button.

Three honest warnings:

  • It runs per booking row, not per client. Someone who already rebooked can still get a nudge from her older appointment, so add conditions, and test with your own number first.
  • It's a marketing message. Meta charges for it by category and country. Check its rate card before you decide how often to send.
  • Permission comes first. Meta's policy says you may only contact people who gave their number and opted in, and it recommends separate opt-in for each category of message. Our opt-in guide has practical wording.

Questions people ask

Will clients need to install anything?

No. They use the WhatsApp they already have. Flows need a recent phone app, though: Meta says they aren't supported on WhatsApp Web, so give those clients a typed way to ask.

Can I take a deposit?

Avox has a premade automation that creates a payment link in a connected payments app when a booking is added, and sends it to the client. You need that payments app connected first, and the link goes out as a template, since it's usually outside the window.

How much will the messages cost?

There are two meters: Avox automation credits, and Meta's per-message charge for templates. Plans are on our pricing page, and Meta publishes its rates.

Your next step: connect your number, create the Time slots table, and add next Thursday's five free times. Then book yourself in from your own phone.
