WhatsApp appointment reminders that actually get read
A reminder that only says "you have an appointment" gives the customer nothing to do. Here is how to time it, word it and wire the buttons so a no-show becomes a rescheduled visit where possible.
The reminder that fails is rarely the one that never sends. It's the one that says "Reminder: you have an appointment tomorrow" and then stops, leaving the customer to work out the time, the place, and what to do if they can't come.
Good WhatsApp appointment reminders do three things. They say exactly what and when, they ask for one small action, and they arrive at a moment when the customer can still change their plans. This guide covers the rules Meta puts around them, when to send, how to word them, and what should happen after the customer taps.
We won't promise a no-show percentage. Nobody can honestly give you one for your business. What you can do is make it cheap for a customer to say "yes, I'll be there" or "I need another time", and make sure your team sees the second answer.
Why a reminder has to be a template
WhatsApp separates messages a customer asked for from messages a business starts. After the customer's last message, you have a 24-hour window for free-form replies. A reminder usually goes out long after that window has closed, so it must be an approved message template. Our plain-English guide to the 24-hour window covers the rule in full.
Templates have categories, and the category matters for both approval and cost. Meta's template categorization guide says a utility template must be non-promotional and either specific to the user or essential to them. That fits a reminder about a booking they made.
Two cautions, both from Meta:
- Appointment reminders aren't named as an example on the pages we read. A reminder is a natural utility message, but Meta reviews each template and decides the category.
- Mixed content counts as marketing. Add "20% off your next visit" to a reminder and Meta can treat the whole template as a marketing message, which changes the price and the approval path.
So keep reminders boring on purpose. Put offers in a separate message to people who've agreed to receive them. Meta charges per delivered template message, by category and country, and rules about which messages are free changed on 1 October 2026, so check its pricing page for your market rather than relying on an old blog post, ours included.
When to send
You have three possible moments. Use the first two, and think hard before adding a third.
- Straight after booking. A confirmation with the date, time and address. It's technically not a reminder, but it's the one customers screenshot.
- The day before. This is the main one. There is still time to move the appointment and still time for you to fill the gap.
- An hour or two before. A short nudge for the person who has plans, a train to catch, or a short memory.
For appointments booked weeks ahead, a third message a week out can help. More than three starts to feel like nagging, and a customer who has muted you can't be reminded of anything.
In Avox, both timed reminders are premade automations built on a Date in a row trigger. They read the date and time of each booking in your Appointments table and send at the right offset, in your time zone, once per booking. Move a booking and it gets a fresh reminder. Cancelled bookings are skipped. A booking added less than an hour before the visit doesn't get a pointless late reminder. Our post on premade automations shows where to find them.
How to word WhatsApp appointment reminders
A reminder is a very short document, and each line has a job: who you are, what the visit is, when, where, and what to do next. Here is a template body in the style of Avox's template library:
Hi {{1}}, this is a reminder of your {{2}} booking on {{3}} at {{4}}. Please tap Confirm, or tap Reschedule if the time no longer works for you.The two buttons, Confirm and Reschedule, are quick replies. They turn a passive message into a decision that takes one tap.
A few habits that help:
- Lead with the customer's name, not "Dear customer". A variable does that for you.
- Say the service in words they recognise. "Haircut" beats "Service 2".
- Give the full date. "Monday, 2 November at 3:30 pm" can't be misread.
- One ask. Don't combine "confirm", "pay the deposit" and "fill in this form" in a single message.
- Respect Meta's template format rules. Number variables in order, supply a realistic sample value for each, and don't start or end the body with a variable. Our template approval tips cover the usual rejections.
Write the template yourself or start from Avox's library, which includes an appointment reminder, a day-before booking reminder and a short "starts soon" reminder. Library templates still need approval in your account, so submit them well before you switch an automation on.
What happens after the tap
This is where most reminder setups stop, and it's the most useful part.
In Avox's day-before recipe, Confirm changes the booking's status to Confirmed and sends a thank-you. Reschedule alerts your team and asks the customer to reply with a day and time that suits them. The automation waits up to 12 hours for an answer.
A customer's reply also opens a fresh 24-hour window, so your team can answer in the Inbox with ordinary free-form messages instead of another template.
Now the limits, because there are some:
- Silence stays silence. If the customer never answers, the booking stays Booked. The recipe doesn't mark it as a no-show or call them. Decide for yourself what happens next: a phone call, or a note on the contact.
- Someone has to read the reschedule alert. An automation that notifies a team nobody watches is just a slower no-show. Agree who owns the inbox in the morning. Our shared inbox guide has ideas for that.
- Each send costs something. Avox counts a template as one automation credit, and Meta charges its own per-message fee on top.
Questions people ask
How far ahead should I send a reminder?
The day before and an hour or two before are the usual pair, and Avox's premade automations use exactly those. If your customers book weeks out, add one message a week ahead. Test with your own customers rather than copying a number from a blog.
Can I send reminders from the free WhatsApp Business app?
Avox's reminders run on the Cloud API side of your number, and with Coexistence your phone and the WhatsApp Business app keep working alongside it. You don't have to give up the app to use them. Read how Coexistence works.
What if the customer replies with something else?
The reply opens the 24-hour window and lands in your Inbox, where a person can answer. Only a Confirm or Reschedule tap triggers the automatic branch.
Do reminders count as marketing?
Not necessarily. A plain reminder about a booking the customer made is normally a utility message, but Meta decides at review, and any promotional line can change that.
Your next step: pick your most missed appointment type, write one reminder with a Confirm and a Reschedule button, and send it to yourself before you let it loose on a customer.
